We are seeking a friendly, organized, and proactive Receptionist to be the first point of contact for our real estate office. The ideal candidate will deliver exceptional customer service, manage front-desk operations, and support our sales and administrative teams in a fast-paced environment.
Key Responsibilities
Front Desk & Customer Service
- Greet and welcome clients, visitors, and prospects in a warm and professional manner.
- Answer, screen, and direct phone calls to the appropriate team members.
- Maintain a clean, organized, and inviting reception area.
Administrative Support
- Manage daily office correspondence, emails, and inquiries.
- Schedule appointments, property viewings, and client meetings.
- Assist with preparing property brochures, documentation, and client packets.
- Handle filing, data entry, photocopying, and scanning.
- Maintain and update client databases, CRM entries, and property listings as needed.
Real Estate Operations Support
- Coordinate with agents to ensure smooth scheduling and communication with clients.
- Assist with open house preparations, signage, and marketing materials.
- Update property availability, price changes, and listing information in internal systems.
Office Coordination
- Manage office supplies and inventory; place orders when necessary.
- Coordinate courier services, deliveries, and mail distribution.
- Support the management team with general office tasks as required.
Qualifications & Skills
- Proven experience as a receptionist, front desk officer, or administrative assistant (real estate experience is a plus).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, Outlook); familiarity with real estate CRM systems is an advantage.
- Professional appearance and customer-centric attitude.
- Ability to handle confidential information with integrity.
Personal Attributes
- Friendly, approachable, and positive demeanor.
- Strong sense of responsibility and attention to detail.
- Ability to work independently as well as part of a team.
- Punctual, reliable, and able to work in a fast-paced environment.
Education
- High School Diploma or equivalent (Bachelor 's degree preferred but not mandatory).
Work Schedule
Full-time, on-site role
- Weekends or extended hours may be required depending on business needs.
