Position Overview:- This role is a pivotal interface between client requirements and internal solution design. The Senior Tendering & Proposals Lead will take end-to-end ownership of the proposal lifecycle-from RFP analysis to final submission-ensuring each bid is competitive, compliant, and strategically aligned.
-Operating in a high-velocity bid environment with tight deadlines and regional regulatory nuances (especially Saudi Arabia), the role demands agility, precision, and stakeholder alignment.- Success requires not only technical and commercial acumen but also the ability to drive clarity in ambiguous situations, manage cross-functional contributors, and uphold bid excellence under pressure. This is a strategic execution role with direct business impact, influencing win rates, margin quality, and market reputation.Key Responsibilities:- Lead the entire tendering lifecycle, including RFQ/RFP analysis, solution alignment, pricing strategy, and submission.- Translate complex client specifications into coherent, compelling, and technically sound proposals.- Collaborate with technical, pre-sales, and delivery teams to co-architect winning solutions and identify cost levers.- Prepare comprehensive techno-commercial proposals using standardized and bespoke templates.- Oversee proposal timelines, ensuring timely approvals from relevant authorities (e.g., Technical Director, CEO).- Ensure adherence to internal governance protocols and client-specific RFP/RFQ formats.- Act as the single point of contact for proposal status updates, stakeholder coordination, and risk escalation.- Track proposal metrics (turnaround time, success rate, margin trends) and use data to drive improvements.- Engage legal, finance, and procurement teams to validate terms, cost structures, and compliance.- Maintain a well-organized knowledge base of past proposals, templates, and best practices.- Support order handover to project teams with clarity on client expectations and deliverables.Critical Success Factors:- Proposal Win Rate: - 30% in competitive tender environments- Proposal Turnaround Time: - 10 business days per RFP (average)- Compliance Score: 100% alignment with technical & commercial checklists- Internal SLA Adherence: On-time inputs and approvals from cross-functional contributors- Knowledge Reuse: Active maintenance and reuse of the proposal repository, reducing effort duplicationEducation and Experience:- Degree: B.E./B.Tech in Computer Science, Mechanical, IT, or Electronics & Electrical (mandatory)Experience:- 8-12 years in tendering, estimation, or proposals within software, automation, or system integration- At least 3 years of experience in handling proposals for international clients (KSA/GCC preferred)- Proven track record of proposal ownership from bid to handover in complex solution environmentsEssential Skills and Competencies:Technical & Commercial:- Deep understanding of automation, cloud, software architecture, and system integration projects- Expertise in proposal engineering, pricing models, and cost estimation frameworks- Familiarity with project planning, effort estimation, and commercial negotiationsTools & Platforms:- Proficient in MS Office Suite, CRM (e.g., Salesforce, Zoho), and proposal management tools- Comfortable with documentation platforms and collaborative editing (e.g., SharePoint, Google Suite)Behavioral & Leadership:- Exceptional communication-written clarity, persuasive storytelling, and client-facing professionalism- Project management and time management under pressure- Stakeholder engagement and influencing without authority- Problem-solving and structured thinking in ambiguous, cross-border environments- Flexibility to adapt to Middle East working hours (hybrid shift flexibility) (ref:updazz.com)
