This role is responsible for answering and managing inbound customer queries. The primary focus of the role is to support client queries and process client orders in relation to the distribution portfolio of Organization, i.e. physical and online products.Responsibilities:Invoicing and Collections- Ensure vendor registration processes are completed with clients- Create invoices for orders made by clients- Email invoices to clients- Send hard copy invoices to the client- Update invoice tracking sheets- Monitor collections and maintain the standards established for this- Highlight outstanding payments and escalate issues where appropriateOrder Processing :- Collect requisite information for processing requests from clients- Verify client records on CRM and the inventory available- Process physical product orders by initiating steps to dispatch the material- Process online product orders by initiating steps on the assessment bureau- Inform the client when the order is processed- Respond to additional queries that may arise from clients on an order- Verify with the client about the receipt of order- Update relevant trackers once client confirms receiptAssessment Bureau- Set-up assessment administrations for online products- Generate assessment reports for the client- Share the reports with the client on the date agreed- Inform internal team about low inventory stocks on online products- Provide information for the calibration of inventory on systems like AIMS and TallyCustomer Helpdesk- Answer client calls and emails enquiring about physical and online products and provide information- Answer client queries on orgazanization s programs by sharing basic information about program dates, venue etc.- Trouble shoot queries received about information on website and payment links- Escalate customer queries to program management and consulting teams- Maintain the organisation s standards on quality and TAT- When required, make outbound calls to clients to announce organization s programs- Track orders received through the tracking system and complete log sheets- Provide information for monthly reporting on volume of client queries managedThese job duties and responsibilities are not intended to be all inclusive. Other duties may be assigned by reporting manager.Skills:- Communication Skills -- Proficient in spoken and written communication Active listening - Giving full attention to what clients are saying, taking time to understand the points being made, asking questions as appropriate Reading Comprehension - Understanding written sentences and paragraphs in work related documents.- Customer Service - Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.- Sales accounts/Admin: This includes maintaining of all clients sales and transaction records. To work with client wise purchase orders Vs order placed trackers. Familiar with purchase order validations. Inventory management and reconciliations of stocks.- Service Orientation - Actively looking for ways to help clients; taking steps to escalate queries that are beyond the role scope- Proficient in MS Word and Basic skills in MS Excel and MS PowerPoint/Invoicing/quotation preparation and payment receivables trackers (either in Tally /ZOHO or any other accounting software)- Proficient in handling CRM and ERP platformsQualification & Experience :- Graduate in any discipline with excellent number and error checking skills, good communication skills- Service Orientation - Actively looking for ways to help clients; taking steps to escalate queries that are beyond the role scope- Proficient in MS Word and Basic skills in MS Excel and MS PowerPoint- Proficient in handling CRM and ERP platforms.
