Role Overview:We are seeking a highly professional and customer-focused Front Office Receptionist to be the face of EBG Group at our Hyderabad office. This role is crucial in creating a positive first impression for all visitors and ensuring the smooth operation of the front desk. You will interact with clients, employees, and vendors, providing exceptional service and support. Your ability to manage multiple tasks efficiently and maintain a welcoming environment will directly contribute to the overall success of our office and the satisfaction of our stakeholders.Key Responsibilities:- Greet and welcome visitors in a professional and courteous manner, ensuring a positive first impression of EBG Group.- Manage the reception area, maintaining a clean, organized, and welcoming environment for all visitors and employees.- Answer and direct phone calls promptly and efficiently, providing accurate information and routing calls to the appropriate personnel to ensure effective communication.- Manage incoming and outgoing mail, packages, and deliveries, ensuring timely and accurate distribution to the intended recipients to maintain efficient operations.- Schedule and coordinate meetings, appointments, and conference room bookings, optimizing resource utilization and ensuring smooth scheduling processes.- Provide administrative support to various departments as needed, assisting with tasks such as data entry, photocopying, and document preparation to support overall office efficiency.- Maintain visitor logs and security protocols, ensuring the safety and security of the office premises and personnel.- Handle inquiries and provide information to visitors and callers, addressing their needs and resolving issues promptly and professionally to enhance customer satisfaction.- Manage office supplies and equipment, ensuring adequate stock levels and proper maintenance to minimize disruptions and maintain a functional work environment.Required Skillset :- Demonstrated ability to provide exceptional customer service and maintain a professional demeanor in all interactions.- Proven ability to communicate effectively, both verbally and in writing, with individuals at all levels.- Strong interpersonal skills, with the ability to build rapport and maintain positive relationships - with clients, employees, and vendors.- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.- Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and other relevant office equipment.- Ability to maintain confidentiality and handle sensitive information with discretion.- Bachelor s degree preferred.
