Admin Executive Position Availability Asap Job Description The corporate facility division 's "Operational Anchor " and "Workplace Continuity Specialist " are the administrative executive. Your main responsibilities include overseeing day-to-day office operations, coordinating front desk procedures, maximizing workplace resources, and ensuring that every employee works in a safe and productive physical environment. As the "Central Logistics Liaison, " you oversee internal event planning, vendor management, office asset acquisition, and facility upkeep. The ideal applicant is a highly organized coordinator with a proactive approach to problem-solving, a polished professional manner, and the flexibility to manage several administrative responsibilities at once without making a mistake. Responsibilities Workplace Facility Coordination: Manage the day-to-day activities of the office building, making sure that utilities are always running, the space is clean, and seating is distributed as efficiently as possible. Vendor and Contract Procurement: Examine monthly vendor invoices, negotiate with and onboard third-party service providers, and confirm service performance against service level agreements SLAs. Office Inventory Control: Prior to bottlenecks, place structured procurement requests and keep an eye on the stock levels of office supplies, printing materials, pantry supplies, and business items. Front-Office & Reception Oversight: Manage corporate conference room scheduling, principal telephone routing, incoming/outgoing courier logs, and guest welcoming procedures. Travel and Hospitality Accommodation: Organize executives ' and visiting clients ' domestic and foreign travel arrangements, including airline schedules, hotel bookings, assistance with visa paperwork, and local transportation issues. Skills: Outstanding Task Prioritization: Excellent organizational abilities to handle conflicting requests from internal staff, external contractors, and building management. Vendor Negotiation Prowess: The capacity to evaluate vendor service costs, evaluate rival quotes, and effectively manage administrative operations budgets through clear and vigorous bargaining. Interpersonal Communication Mastery: Excellent writing and spoken English communication abilities for professional coordination with field service workers, building owners, and corporate executives. Basic Digital Agility: Proficient use of Microsoft Office programs Word, Excel, and Outlook to manage company-wide email circulars, construct spreadsheets, and monitor facility spending. Resourceful Problem Solving: A proactive, "figure-it-out " approach to handling unexpected workplace conflict, such as utility interruptions, infrastructure failures, or unexpected scheduling conflicts.
